Process
How a project goes from messy process to working system.
Ten steps, in four stages. Scope and complexity determine the pace; larger projects repeat the build stages per workflow. You see working software early and approve each stage before the next.

-
01UNDERSTAND
Discovery
A call and a short questionnaire about the process, the people involved, the systems and what a good outcome looks like.
YOU GETA shared problem statement and a yes/no on whether to continue.
-
02UNDERSTAND
Process mapping
We sit with the people who do the work and map each step, including the exceptions nobody writes down. We measure volume and time where we can.
YOU GETA process map with time, volume and owners per step.
-
03UNDERSTAND
ROI / feasibility analysis
We score each part of the process on frequency, variance and cost of error, and estimate build effort against time saved.
YOU GETA ranked list of what to automate, what to leave manual, and expected payback.
-
04DESIGN
Architecture
We decide where logic runs, which system owns each piece of data, where approvals sit, and how failures are handled.
YOU GETAn architecture diagram and a fixed-scope proposal.
-
05DESIGN
Prototype
A working version against test data or a sandbox, so you can see real behaviour before anything touches production.
YOU GETA clickable or runnable prototype and a list of open questions.
-
06BUILD
Integration
We connect production systems with scoped credentials, build the full logic and the exception paths, and set up logging.
YOU GETA complete workflow in a staging environment.
-
07BUILD
Testing
We test the happy path, edge cases, bad data, permission errors, timeouts and duplicate events. Your team tests with real cases.
YOU GETA test report and sign-off from the process owner.
-
08BUILD
Deployment
Staged rollout, often running alongside the manual process at first, with a rollback plan.
YOU GETA live workflow, documentation and a handover session.
-
09OPERATE
Monitoring
Alerts for failures and unusual volumes, dashboards for run history, and a named contact when something needs attention.
YOU GETVisibility into every run and an agreed response time.
-
10OPERATE
Optimization
A monthly review of exception rates, edit rates and time saved. We adjust thresholds and remove human steps only when the data supports it.
YOU GETA short monthly report and a backlog of improvements.
Limits
What we won't automate
Part of our job is telling you when automation is the wrong answer. Every audit and proposal includes a list of what should stay manual, and why.
Decisions that need judgment
Hiring, credit decisions, disciplinary matters and anything where context matters more than rules. We can prepare information; a person decides.
Steps that exist as controls
Segregation of duties, four-eyes checks and sign-offs required by auditors stay in place. We make them faster, not optional.
Regulated sign-offs
Where regulation requires a qualified person to review or approve, the workflow pauses for them and records the decision.
Processes that are not worth it
Rare, highly variable or about to change. If the build costs more than the time it saves, we will say so.
Step one is a 30-minute call.
